Privacy notice – Health and Wellbeing in Wakefield survey
Migration Yorkshire won’t share any personal information that could identify you, unless for safeguarding reasons we are required by law to do so. We will keep your information safe and only use it in the ways that you agree to.
The types of data we will collect
In the survey we will ask questions about your views and experiences of health and wellbeing. We will also ask some questions about you, to help us make sure we have included a wide range of people in the research project. For example we will ask questions about your gender and age. You don’t have to answer these questions if you prefer not to.
If you choose to take part in the prize draw, or say that we can contact you about the project or other work, we will collect:
- Your e-mail address or your phone number, or both
- Your name
If you are selected as a winner in the free draw, we will contact you to give you your prize (please see terms and conditions for further details). We might also ask you to share information with us to show that you meet the entry requirements. This information will not be shared with any third parties.
Our purposes for collecting your data
The legal basis we rely upon for processing your personal data including your email address and phone number, and entering you into the survey prize draw, is your consent.
We will process your data based on your consent in accordance with Article 6a of UK GDPR and Article 9(2)(a). The processing shall be lawful only if and to the extent that the following applies:
- the data subject has given consent to the processing of their personal data for one or more specific purposes.
Our purposes (reasons) for collecting your personal information are:
- to assist with this research project
- to contact you about the project or work related to the project, if you want us to do this
- to enter you into the prize draw, and to manage and administer the draw, including telling you if you are a winner.
When we award the prize to the winner the legal basis we rely upon is Article 6b of UK GDPR: the performance of a contract between Migration Yorkshire and the winner.
For financial record keeping and audit purposes, the legal basis we rely upon is Article 6e of UK GDPR: processing is necessary for the authority to perform a task in the public interest or for our official functions, and the task or function has a clear basis in law.
How long will we keep your data?
If you give your consent to be contacted by Migration Yorkshire about the research project or other work after the end of the project, we will keep your contact details for two years. If you do not consent, we will keep your contact details for three months. The prize draw will be administered before the end of this three month period. Data of the winners will be retained for general audit purposes for 6 years, after the financial year end in which the record was created, because we have a legal obligation to do so under the Local Government Act 2003.
Migration Yorkshire will keep your pseudonymised data (this means data without personal information) for six years after the end of the project, until the end of 2030. This is so that it can be used for other pieces of work, for example if we are replying to a government consultation, or applying for funding.
How to contact us, including to withdraw consent
You have the right to remove (withdraw) your consent to participate in the research, or the prize draw, at any time – please contact us if you wish to do so. If you remove your consent, we will stop using your data from that moment onwards, although we will not be able to remove any data that has already been processed.
